Quality Representatives Job Descriptions

Appointment of Quality Representatives:
Article 10 – Quality Representatives are appointed by the heads of units in order to ensure that academic and administrative units support and disseminate quality management and improvement activities within the University. In academic units, the Quality Representatives consist of at least two academic staff members (one of whom must be from the unit’s administration) and one student; in administrative units, the Quality Representatives consist of one administrative staff member.

Duties of Quality Representatives:
Article 11 – Unit Quality Representatives are responsible for carrying out the following activities:

a) Informing their unit about the University’s strategic plan preparation processes and ensuring internal coordination within the unit.
b) Coordinating the following processes related to the University’s strategic plan performance indicators and entering the relevant data into the institutional management information system:
i. Determining annual target values and action plans, and
ii. Identifying the performance values of their unit during monitoring periods.
c) Participating in process management activities when needed, and supporting the following processes related to the unit’s process performance indicators:
i. Determining annual target values, and
ii. Identifying the performance values of their unit during monitoring periods.
d) Supporting institutional risk management activities, regularly monitoring risk prevention actions, and entering the necessary data into the institutional management information system.
e) Making the necessary preparations for internal and external evaluation processes and providing support to the Directorate of Quality and Institutional Development and/or the University Quality Commission.
f) Promoting the satisfaction surveys conducted by the University’s Directorate of Quality and Institutional Development among the relevant student, academic, and administrative groups to increase participation; developing action plans with the unit manager based on survey results and ensuring the follow-up of these plans.
g) Ensuring the active use of digital tools that enhance educational, publication, and administrative quality within the unit’s operations.
h) Maintaining regular communication with the student member of the unit’s quality team to ensure student participation in quality practices.
i) Fulfilling the requests of the Directorate of Quality and Institutional Development and/or the University Quality Commission within the scope of the quality management system, and ensuring that quality management system activities are carried out within the unit in accordance with the procedures and principles determined by the University Quality Commission.
j) Announcing the decisions of the Quality Commission within their unit, contributing to their implementation, and monitoring the results.
k) Holding at least two meetings per year within the framework of the Unit Quality Commission, recording the minutes, and submitting them to the University Quality Commission.
